Short Job Description :: 527 - ACCOUNTING CLERK III
 
  Position summary: The Accounting Clerk III will provide assistance with invoice processing, handle receipt and distribution of internal procurements, provide support to the Financial Manager and perform miscellaneous non-routine duties as required.

Tasks:

  • Monitors, verifies and tracks all invoices to the Federal Protective Service Region One ensuring prompt payment. Invoices are received via email, fax, postal service, and government web based system Web View.
  • Maintains procurement database to include requests, invoices, packing slips and Purchase Card Transaction Worksheets.
  • Researches and prepares all general supply purchases ensuring transactions are in accordance with the Federal Acquisition Regulations and are at best value for the agency.
  • Functions as customer service representative to vendors conducting business with the Federal Protective Service Region One resolving issues relating to payment for goods and services.
  • Reviews, analyzes and evaluates matters that relate to financial issues and budgetary expenditures.
  • Assists Government Purchase Card holders in responding to Purchase Card audit requests from both ICE Purchase Card Program and USCG Finance Center through maintenance of financial transaction logs and record.
  • Researches and coordinates vendors for required services in support of physical security systems. Ensures that all purchases for services are in accordance with established Federal Acquisition Policies.
  • Edits and maintains the Regional Security Contract database ensuring it is accurate and current to assist the Budget Officer, Physical Security Officer Program Manager and Contracting Officer’s Technical Representative in oversight and management of the contracts.
  • Prepares and submits all Region 1 IT requests for purchase of hardware and or software to the OCIO office for approval. Researches and prepares all local IT purchases.
  • Prepare and make group/Executive presentations.
  • Attendance and punctuality are critical to this position.
  • Perform other related duties as required.

Education and Experience: Minimum High School diploma is required with sixth months of general experience. Be proficient and have demonstrated experience in the use of the following software: Microsoft Windows, Microsoft Outlook, Microsoft Word, Microsoft Power Point, and Microsoft Excel.

Security Clearance:  Employee must undergo a favorable background check through local and national criminal databases and credit check as well as obtain and maintain a favorable suitability determination by DHS.
